Black Forest Policies and Procedures
Thank you for requesting information about the banquet, wedding and meeting facilities at Black Forest. Below are general guidelines relating to hosting an event at our facility. The Black Forest does require a signed banquet agreement detailing all terms and conditions relating to your event, along with a deposit to secure your reservation.
- All food and beverage (with the exception of wedding or specialty cakes) must be purchased through The Black Forest LLC, and is subject to 5.5% Wisconsin State sales tax and 18% service charge. All prices are subject to change without prior notice. Black Forest LLC will cut and serve your wedding cake for a fee of $100.00.
- Black Forest will not accept responsibility for any damaged, lost, stolen merchandise or personal items, left behind following an event. We will not accept responsibility for cakes and/or decorations brought into the building. If damages to the property of the Black Forest occur during your event, an estimated amount for the damages must be paid by credit card at the end of the event. A final bill will be sent upon repair of the damages, including any costs not covered in the estimated payment, for which you will be responsible for upon reciept.
- All remaining food items are the property of Black Forest LLC, and will not be packaged for the host. All beverages remaining are the property of the Black Forest LLC, and will not be sold or transferred to the host.
- In compliance with state and local laws, we reserve the right to request identification and/or refuse service at any time. We also reserve the right to end bar service for the safety of our guests. Black Forest LLC will NOT SERVE ANYONE under the age of 21, even if in the company of their parents or legal guardians.
- When planning the decorations for your event, understand that Black Forest does NOT ALLOW anything to be nailed or taped to any wall surfaces or wooden beams. Open flame candles are permitted, but must be placed on a plate or charger to catch the wax. Helium balloons are NOT PERMITTED in the Enchanted Ballroom, but my be used elsewhere in the facility. Confetti is also NOT PERMITTED throughout Black Forest. Check with your banquet coordinator for more information.
- Final count for an event, which becomes your guaranteed number when calculating the bill, must be received at least 5 working days prior to the event. This will be considered your guaranteed number of guests. If not, you will be billed 100% of your guaranteed count or amount of guest served, whichever is greater. If attendance falls below 80% of the guaranteed number, 95% of the bill will be charged. If attendance is more than 10% above the guaranteed number, we will make every effort to accommodate your group. However, we cannot guarantee availability of additional items as specified in the original order and will substitute accordingly. If one or more entree is being offered, a count for each entree must also be given 5 days in advance and place cards must be supplied with a coding system, coordinated with the banquet coordinator.
- Cancellation of any event, at any time, will result in the loss of the deposit money given and the signing of the banquet agreement. Additional fees may apply, see section 8, for more information.
8. For groups up to 99: Any cancellations received 10 working days or more prior to the event date will be accepted without additional charges. Cancellation within 10 working days of the event will result in a charge of 50% of the total bill.
- For groups above 100: Any cancellations received 14 working days or more prior to the event will result in a charge of 25% of the total bill. Cancellations received 2 to 13 working days prior to the event will result in a charge of 50% of the total bill. Cancellations within 24 hours of the event will result in a charge of 100% of the total bill.
* Wedding Reception Cancellation Policy
Cancellations received 60 to 90 days prior to the event will result in a charge of 30% of the total bill.
Cancellations received 30 to 59 days prior to the event will result in a charge of 50% of the total bill.
Cancellations received 29 or less days prior to the event will result in a charge of 100% of the total bill.
- If your group is tax exempt, the appropriate documentation must be on file 5 days prior to the event.
- Food prices will be guaranteed 90 days prior to event and beverage pricing will be guaranteed the day of the event.
- A deposit is requested at the time of booking the function and the final bill to be paid in full at the conclusion of all functions. Unless noted by Black Forest Management and/or owners. A hospitality fee of $200.00 also applies to all coordinated events.
- Minimum Billing & Deposit:
*Minimum dollar amounts include all food and beverage charges. Minimum dollar amounts do not include taxes or gratuities. Black Forest Management reserves the right to waive minimum billing.
- If you would like to have a private bar for your event, we can provide one for you. A minimum expenditure of $300.00 is required for private bars, or a $75.00 bartender fee will be assessed.
Parking for banquet event will be east side of the building.
